Questions people ask about UK invoices
What must a UK invoice include?
HMRC's rules are short. Every invoice needs a unique sequential number, your name and address, the customer's name and address, a clear description of what you supplied, the date of supply, the invoice date, and the amount due. If you are a limited company, the full registered name must appear. If you are VAT registered, you must also show your VAT number, the VAT rate for each item, the net amount, the VAT amount and the gross total. This tool adds each of those automatically when you tick "I am VAT registered".
Can I show VAT if I am not VAT registered?
No. Standard rate is 20%. Reduced rate is 5% and covers things like domestic energy and some building conversions. Zero-rated items, such as most food and children's clothing, still count as taxable supplies and appear on a VAT invoice at 0%. Exempt items, such as insurance and some education, are not taxable supplies and no VAT is shown. If you are not VAT registered you must not charge or show VAT at all, and the word "VAT" should not appear on your invoice.
When does the construction reverse charge apply?
Since 1 March 2021, if you supply construction services to a VAT-registered customer who is also registered for CIS and who will sell the services on, you do not charge VAT. You show the VAT rate and the amount the customer must account for, and state that the reverse charge applies. Tick "Apply the domestic reverse charge" and the invoice is worded correctly. Do not use it for end users or for domestic customers.
How is a CIS deduction calculated on an invoice?
Under the Construction Industry Scheme, contractors deduct 20% from payments to registered subcontractors, or 30% from unregistered ones, and pay it to HMRC on the subcontractor's behalf. The deduction is taken from the labour part of the invoice only, after VAT has been removed. Materials, plant hire, fuel and VAT are not deducted. Mark each item as labour or materials and the tool shows the gross amount, the deduction and what you will actually be paid. Subcontractors with gross payment status receive the full amount.
Can I charge interest on a late invoice?
Yes. Business customers who pay late owe you statutory interest at the Bank of England base rate plus 8%, and a fixed compensation sum of £40, £70 or £100 depending on the size of the debt. You do not need to have written this on the invoice to claim it, but stating it helps. The late payment calculator works out exactly what is owed on an overdue invoice.
Is my data uploaded anywhere?
No. Everything runs in your browser. Your details, bank details and the next invoice number are stored in your browser's local storage so that you do not retype them. Nothing is sent to us or anyone else. Use "Export data" to back up or move to another computer, and "Clear everything" to wipe it. Read the privacy page for the full picture.
This tool helps you format an invoice. It is not tax or legal advice. Check HMRC's guidance on invoicing, the reverse charge and CIS if you are unsure.
